When you send an enquiry through this website, whether to request an invitation or to ask about sponsorship, exhibition or partnership, we collect the details you enter:

• Full name and job title
• Organisation or company
• Sector, or the partnership you are interested in
• Work email address
• Phone number, if you choose to give it
• Country
• Any message you include

If you take part in the event, we may ask for further details needed for participation, such as a postal address or mobile number.

We use the information we collect for:

• Reviewing requests to take part and managing the event
• Replying to your enquiry and communicating with you about our events
• Compliance with legal obligations
• Internal record keeping
• Promotion and marketing of our events

Participation in the Conclave is by invitation. Submitting an enquiry does not by itself confirm a place.

We may share your information with our partners, third-party service providers, sponsors and exhibitors for the purposes of event coordination and related activities, including email marketing. We do not sell your personal information.

By providing your information, you consent to its potential sharing for these purposes. You can withdraw that consent at any time, as described under Your rights.

• Hosting. The website is hosted by Vercel, which processes technical information such as IP addresses to deliver and secure the site.
• Analytics. We use Vercel Web Analytics to understand how the site is used: pages viewed, referring sites, and approximate country and device type. It does not use cookies and does not identify you personally.
• Enquiry emails. Enquiries are delivered to our event team, and a confirmation is sent to you, through our email service provider.
• Maps. The map on the Venue & Baku page is provided by Google Maps and loads only if you choose to show it. Google may then set its own cookies, under Google’s privacy policy.
• Cookies. This website does not itself set cookies.

We are committed to keeping your information secure. We use suitable physical, electronic and managerial procedures to safeguard the information we collect, and the website is served only over encrypted connections (HTTPS).

We keep your personal information only for as long as necessary to fulfil the purposes set out in this policy, and as required by applicable law.

You have the right to:

• Request correction or deletion of your personal information
• Object to the processing of your personal information
• Withdraw consent for the use or sharing of your personal information
